Most wedding photography mistakes happen before the camera is ever picked up. Missing key family members in formals, arriving at a venue without knowing the lighting, not knowing the couple's non-negotiable shot — these are all prevented by one thing: a thorough client questionnaire.

Below is a complete framework for what to ask, when to ask it, and how to use the answers to deliver a better service.

When to Send It

Send your questionnaire 4-6 weeks before the wedding — early enough to plan, late enough that clients have finalised most details. Send a second, shorter check-in 1 week before for any last-minute changes.

Section 1: The Wedding Day Basics

Logistics Questions

  1. What is the wedding date, start time, and expected end time?
  2. What is the exact address of the getting-ready location?
  3. What is the ceremony venue address? Is it the same location?
  4. What is the reception venue address and start time?
  5. Is there parking available for vendors at all locations?
  6. What time should the photographer arrive?

Section 2: People & Family Groups

Formals are the most time-consuming part of wedding photography. Knowing exactly who needs to be photographed together prevents the frantic searching that eats into portrait time.

Family & Group Questions

  1. How many family group combinations do you want? (List each grouping)
  2. Are there any divorced or separated parents? Any sensitivities to be aware of?
  3. Who is responsible for gathering family groups quickly on the day?
  4. Are there any elderly or disabled family members who need special consideration?
  5. Are children in the wedding party? How many and what ages?
  6. Is there a second photographer or do you require one?

Ceremony Questions

  2. Are there any photography restrictions inside the venue?
  3. Is flash photography permitted during the ceremony?
  4. How long is the ceremony expected to last?
  5. What are the 3 most important moments you want captured?
  6. Are there any special cultural rituals the photographer should know about?

Section 4: Couple Portraits

Portrait Session Questions

  1. How long do you want set aside for couple portraits?
  2. Are there specific locations on or near the venue you'd like to use?
  3. Do you have a Pinterest board or reference images? Please share the link.
  4. Are there any poses or styles you specifically want to avoid?
  5. How do you feel about being photographed? Are you natural in front of a camera or do you need more guidance?

Reception Questions

  1. What is the reception programme? (First dance, speeches, cake cutting times)
  2. Are there any special items or details you want photographed? (Flowers, cake, rings, decor)
  3. Is there a photo booth or special entertainment to capture?
  4. What time does the event end and when does the photographer finish?
  5. Are vendors being fed? Where and when?

Delivery Questions

  1. How many edited photos are you expecting?
  2. What is your preferred editing style? (Natural, moody, bright & airy, dark & dramatic)
  3. Will you require prints or albums? If so, which ones?
  4. What is the preferred method of gallery delivery? (Online gallery, USB, both)
  5. Do you consent to images being used in the photographer's portfolio and social media?
